Calfee, Halter & Griswold LLP (Calfee), a full-service corporate law firm with offices in Cleveland, Columbus, Cincinnati and Washington, D.C., is seeking an experienced Executive Assistant for its Cleveland office. This position will be responsible for a wide range of high level administrative support for assigned attorneys. The ideal candidate will be an energetic, self-starter, professional with a proactive work style.  The highest attention to detail and quality, as well as excellent organizational and interpersonal skills, are required for this position. 

 

Responsibilities include, but are not limited to:

  • Coordinate and manage complex schedules; plan and schedule meetings, appointments, teleconferences, events and travel arrangements; prepare agendas and itineraries
  • Work closely with attorneys to keep informed of upcoming commitments and responsibilities, following up appropriately
  • Prepare expense reports, check requests, client invoices and other administrative forms as required
  • Accurate and efficient submission of attorney time entries
  • Effectively handle incoming and outgoing communications; research, prioritize and follow-up on matters in a timely and efficient manner
  • Prepare legal documents, presentations and general correspondence from dictation or written format in an accurate and timely manner; draft standard correspondence; proofread and format documents
  • Facilitate the new business intake process
  • Maintain organized and secure client and firm electronic and paper document files
  • Maintain good public relations with clients and observe confidentiality of attorney-client relationship
  • Assist other administrative assistants as time permits and as requested

   

Qualifications

  • Minimum 5 years executive assistant experience
  • Experience in a law firm preferred
  • High degree of organization, attention to detail and follow through skills
  • Exceptional interpersonal and client service skills
  • Strong verbal and written communication skills
  • Ability to handle multiple, competing priorities in an effective manner
  • Ability to work effectively in deadline pressured situations
  • Advanced Microsoft Office Suite 2016 skills
  • Minimum typing speed of 65 wpm
